After-Hours Answering

Handling calls that arrive outside normal business hours — evenings, nights, weekends and public holidays. For most service businesses this is well over half of the week.

AI Answering Service

A phone service in which an AI voice agent, rather than a human operator, answers inbound calls to a business. It holds a spoken conversation with the caller, answers questions from information the business supplied, and can book appointments, capture lead details or route the call according to rules the business sets.

AI Receptionist

An AI voice agent performing the duties of a front-desk receptionist: greeting callers, answering routine questions about hours, location and services, booking or changing appointments, and passing on messages or transferring to the right person.

AI Voice Agent

Software that conducts a natural spoken conversation over the phone. It converts the caller’s speech to text, decides on a response using a language model constrained by the business’s own information and rules, and speaks the reply back. Unlike a phone menu, it is not limited to a fixed set of options.

Answer Engine Optimization (AEO)

Structuring content so that answer engines — systems that reply directly rather than returning a list of links — can extract and cite a precise answer. In practice this means clear question-and-answer structure, direct opening statements and accurate structured data.

Answering Service

A third-party service that answers a business’s calls when its own staff cannot. Traditional answering services are staffed call centres whose operators take messages from a script, usually billed per minute, per call or in monthly minute bundles.

Call Forwarding

Sending calls placed to one number on to another. It is how a business keeps its existing published number while routing the calls somewhere new, and it can be set to apply always, only after hours, or only when nobody answers.

Call Overflow

Calls that arrive when every internal line or person is already busy. Overflow is normally the first thing to be lost, because it happens during the busiest hours when nobody is free to pick up.

Call Routing

Directing a call to the right destination based on defined rules: who the caller is, what they need, what time it is, or whether the request is urgent. Good routing means the on-call phone only rings for things that genuinely cannot wait.

Call Triage

Assessing urgency at the start of a call and handling it accordingly. In the trades this typically separates a genuine emergency, such as no heat in freezing weather or active flooding, from work that can be scheduled normally.

Dedicated Business Number

A phone number belonging to the business rather than to an individual. It can be published on advertising, forwarded to different destinations, and tracked separately, without depending on any one person’s handset.

Generative Engine Optimization (GEO)

Optimising content to be surfaced and cited by generative AI systems such as ChatGPT, Perplexity, Claude and Google’s AI overviews. It emphasises factual precision, citable sources and machine-readable structure over traditional keyword density.

HIPAA-Ready

A system with the technical and administrative safeguards required to handle protected health information, deployed under an appropriate agreement. Readiness describes the platform’s capability; actual compliance depends on how a specific practice configures and uses it.

IVR (Interactive Voice Response)

The traditional "press 1 for sales" phone menu. IVR follows a fixed tree and cannot handle anything the tree does not anticipate. An AI voice agent replaces the tree with an actual conversation.

Latency

The delay between a caller finishing a sentence and the agent starting to reply. Low latency is what makes a phone conversation feel normal; a delay of even a second reads as awkward to a human ear.

Lead Qualification

Determining whether a prospective customer is a genuine fit before committing time to them — the right service area, the right budget, a real timeline and decision-making authority. An AI voice agent can run these questions on every call, in the same order, without exception.

Lead Response Time

The time between a prospective customer making contact and the business responding. Research by Dr James Oldroyd with InsideSales.com, analysing over 15,000 leads, found the odds of contacting a lead were 100 times higher when the first response came within 5 minutes rather than 30.

llms.txt

A plain-text file at the root of a website that gives large language models a concise, accurate summary of what the site offers. It plays a similar role for AI systems that robots.txt plays for crawlers, and MyFast.ai publishes one at /llms.txt.

Missed Call Recovery

Any process that turns an unanswered call into a captured contact, such as an automatic text back, an immediate callback workflow, or an AI voice agent answering the call in the first place so it is never missed.

Simultaneous Calls

The number of calls a system can handle at the same instant. A human answers one. A call centre is limited by operators on shift. An AI voice agent can be effectively unlimited, which is what prevents queues during a surge.

Speech-to-Text (ASR)

Automatic Speech Recognition: converting spoken audio into written text in real time. It is the first stage of any AI voice agent and its accuracy determines how well the rest of the conversation works.

Structured Data

Machine-readable markup, usually Schema.org JSON-LD, that states explicitly what a page is about — an organisation, a product, a price, a question and its answer. It lets search and answer engines use the facts on a page without having to infer them from prose.

Text-to-Speech (TTS)

Converting written text into spoken audio. Modern text-to-speech produces natural intonation and pacing, which is what allows an AI voice agent to sound conversational rather than robotic.

Virtual Receptionist

A receptionist who works remotely rather than at the business premises. Historically this meant a human working off site for one or several businesses. The term is now also used for AI receptionists, so it is worth confirming which one a provider means.
